Require enough records to reproduce the contractual amount due. A dashboard with an attractive earnings number is insufficient if finance cannot reconcile it to underlying receipts, permitted deductions and cash.
The owner's proposed statement schema should contain agreement and period IDs, paying counterparty, gross receipts, applicable currency and FX rule, refunds, each deduction, commission base and rate, contributor obligations, amount due, due date and payment reference. For usage-priced deals, add the agreed billable events and dispute adjustments. For fixed-fee deals, do not demand irrelevant event-based accounting.
Test a sample statement before launch. Recalculate a refund, late payment, tier change and minimum-guarantee recoupment. Record missing evidence separately from a confirmed arithmetic discrepancy. An unexplained difference should first generate a factual query with the clause and calculation attached.
Give finance ownership of reconciliation and commercial teams responsibility for chasing unresolved items. Set escalation, audit access and record-retention terms during negotiation. This proposed workflow is not a statutory audit and does not establish any supplier's actual payment quality.
